Hi I am indexing a baptismal record. on the record it states that the parents are adoptive,

in the margin the kind priest has put the biological mothers name.

Do I create 2 separate records ? so that any search on his name will cover all his family?

Or do I put the adoptive parents on the record only?

Thanks for your help

It is always best to share the batch, so others can see what you are seeing and provide the best answer. To share a batch, on the vertical toolbar click on the third icon from the right and follow the instructions. Or you can simply copy and paste the URL address with your question or as a comment.

The general guidance for indexing adoptive parents and birth parents is that we only index the current parent.

How should I index multiple spouses or parents?

    Published December 29, 2020

When the document lists multiple spouses or parents, index only the current spouse or parents. Here are some quick guidelines for these situations:

    • For multiple spouses, index only the present or current spouse.
    • For multiple parents, such as a set of birth parents and a set of adoptive parents, index only the current set of adoptive parents.
    • Do not add records to include the other individuals. The information is not lost. After we publish the records, researchers can view the image and gather any additional information in it.

    Thanks for your enquiry.

Are you able to share the entry or state the project that it comes from please? There are always instructions for each project which cover most potential questions. Normally they only want the data which has been written in the record. In any case, once the project has been indexed, the digital images may also be available, so any notes in the margin may be available to the viewer.

    Hope this helps.
