Ontario Tax Records do you index junior or senior after surname?

Do you index junior or senior after surname? I am not seeing instructions under specific or general guidelines. Maybe I'm just missing it?

I haven't been indexing the Junior or Senior. Generally, in projects, if they want the suffix, there will be a field for it, but the Ontario tax records only have a field for the prefix.

Thank you. I feel you're correct, just wanted to make sure I wasn't missing anything as I am reviewing a record that included it in the surname.

(A) From the Field Help (FH) for the Given Names field - the purple circle that appears when you click in the field:

Do not include titles, terms, or suffixes with the name. Index prefixes in the Prefix field

Jr and Sr are suffixes, so they don’t get indexed in that Given Names field

(B) The FH for the Prefix field says:

Type prefixes, such as "Mrs" or "Mr," as they were written.

i would also index prefixes like Dr, Rev, etc in the Prefix field

So what does one do when there are two identical names one after the other, one with Sr and the other with Jr. Obviously two people but if the Sr and Jr not included then it is two identical names and by the guidelines when there are identical names only the first should be listed if there is not other distinguishing information in any other field.

I have this exact situation in Ontario tax records.

The key reason you should not be concerned about this is that the Researchers drawn to the image by your indexing of the name (without the suffix) will be able to see that there are two persons with that name - a Jr and a Sr. One entry is sufficient to represent the pair. From the What to Remember About This Project Section of the Instructions:

• The completed index and links to digital images will be freely accessible online to the general public when the collection is published.

Also, as you noted, without a Suffix field to hold the Jr and Sr "values" there is nothing to distinguish the entries for those two individuals, so you should only index one per the instructions, as you also noted. Here is the guidance you're referring to:

• Index each unique name recorded in the first column of names, usually titled "Taxable Party" or "Occupants." Some names may be duplicated. When names are exact duplicates, meaning that all required fields are the same, index only the first instance of the name listed. Skip the other exact duplicates and then index the next unique name. Unique names include names with different middle initials and different name spellings or where the other required fields are different.

Finally, the system will delete the second of two adjacent identical entries anyway.
